TERMS & CONDITIONS CONFIRMATION
You will receive confirmation of your registration by e-mail. If you do not receive anything within 48 hours, please contact us to ensure we have received your registration. Please note that the automated email reply is not confirmation that you have secured a place your place is only confirmed once you have received a personalised email from the World Arena Conferences team along with your invoice. Discounts are at the organisers’ discretion and proof of status may be required. All discounts must be applied when registering – discounts cannot be applied after the booking has been processed.
Payment is due within 28 days of invoice date or prior to the conference, whichever is the earlier date. Unfortunately we cannot accept cheques. Delegates who have not paid prior to the conference will be required to supply a credit card as a guarantee. If payment has not been received within 2 weeks after the event, the card will be charged.
INVITATION LETTER FOR VISA APPLICATION
Delegates must have registered and paid the required registration fees before requesting an official letter of invitation. All requests should be sent by e-mail to the Event Coordinator. Please note that World Arena Conferences will not be able to contact or intervene with any Embassy or Consulate office on behalf of a delegate.
If you cancel at least 10 full working days before the event date you will only be charged a 50% cancellation fee. All cancellations must be made in writing (e-mail or fax), please note that phone cancellation will not be accepted as a formal cancellation. We regret that no cancellations can be accepted after this date and full payment is due. Cancellations which are the result of a Force Majeure Event will also be chargeable on the above guidelines. Substitutions are welcome at any time. There is no additional fee for direct substitutions for attendees within the same company, any other substitutions are subject to the approval of World Arena Conferences and may incur an additional charge. All other amendments to your booking may incur a 5% charge. If you wish to change the number of days you are attending the conference, you must inform World Arena Conference prior to the event. Changes cannot be made on the day as the event costs are based on the number of delegates registered each day.
The personal information provided by you will be held on a database. We would like to send you occasional information about other directly related products, you may opt-out or select your contact preferences when you register. If you have any questions about how we use your data or you would like to be removed from our database, please contact us.
The networking system is not activated for every event; where activated, the following terms apply: As part of your registration, the information you provide – EXCLUDING any/all contact details – will be added to the online networking system. The networking system is a closed, private networking system. Only pre-registered delegates, speakers and guests have access to the system. You may opt out of the networking system at any time by logging in and editing your privacy settings. Alternatively you can simply contact us to be removed from the system. Access to the networking system is not considered part of any delegate fees and is entirely discretionary on that basis. We reserve the right to remove any person from the system at any time. Any person using the networking system to promote activities that are considered by us to be detrimental to our business or that of any of our operational partners will be removed from the system.
CHANGES TO THE PROGRAMME / EVENT
Although details are correct at time of going to print, World Arena Conferences reserves the right to make unavoidable changes to the programme, timings or speaker identity. World Arena Conferences also reserves the right to cancel an event at any time and offer delegates an alternative date, a credit towards another event or a refund of fees without any liability for resulting or indirect loss.
If for any reason arising from or attributable to acts, events, omissions or accidents beyond World Arena Conferences’ reasonable control (a “Force Majeure Event”) (including but not limited to: strikes; regulations or orders of governmental authorities; civil disorder; disasters; acts of terrorism; acts of war; collapse of building structures; extreme weather conditions; and acts of God) it is necessary to make amendments to the original planning of an event or it becomes impossible to run an event, World Arena Conferences is relieved of all obligations and does not take any responsibility for compensation, reimbursement of any additional expenses, inconvenience or loss of business that may be experienced by attendees. Further to this, World Arena Conferences reserves the right to retain delegate fees as a contribution to all venue and administrative costs incurred.
